Thank you for choosing Sonam Adventures. When you use our service, like booking trips, and even visiting our website, you automatically agree to our rules and policies. These rules and policies are ethical and must be agreed to protect our travelers and the business.

Please read the following carefully to make the adventure booking as trouble-free as possible.  These rules help with clarity and ease every step of the way to make the adventure go smoothly.

1. Booking and Confirmation

All reservations must be made through the official website, and even via email or recognized travel agencies. It is our duty to send you confirmation emails and vouchers as soon as payment is done, as that is the only way to confirm the booking.

All incomplete, incorrect, or false information given for the booking will automatically reserve the correct to deny or even discard the booking. The travelers must make sure to fill in the correct information, like passport information, emergency contacts, and special requirements such as dietary restrictions or health concerns.

2. Payments

Payments through bank deposits, contracts, or other payment methods are allowed. Payments must be given in the correct time as all signed contracts specify. The bookings are reserved with deposits that are set, and the payment must be made before the travel begins.

• Deposits are fully refundable in the case that all rules and policies, like the cancellation agreements, are in place.

• If full payment is not received or is delayed for payment, Sonam Adventures has the right to cancel the booking without any payment liability.

3. Cancellation By Sonam Adventures

We know the changes that can happen to your itinerary. That is why we offer a more flexible cancellation policy.  In order to positively contribute to the communities, we reserve the right to significantly impact them.

• In order to maximize their profits, the traveler can cancel anytime in the next 30 days before the trip is scheduled to start.

• If it is 15 days or more till departure, travelers can reclaim 25% of the advance payment.

• If the departure date is within 15 days, the payment is lost.

We will not charge you for the trip if Sonam Adventures is unable to proceed as a result of the following reasons:

• Natural disaster, extreme weather, or any political situation that can compromise the safety of the travelers, we will simply either refund or reschedule the trip for no charge.

4. Reschedule

There may be some changes to your itinerary as a result of weather, conditions, or any other circumstances that we may not be able to predict. While we will not be able to predict the circumstances that may lead to lost opportunities, we will do our best to provide you with what you deserve.

In those circumstances, you can always rely on your primary plan. We will make every effort to make the available alternatives as valuable as the primary plan.

5. Health and Safety

The well-being of the traveler is of utmost importance to us. Each traveler is required to:

• Completing the activities without assistance must be achievable.

• Before payments are made, the booking system encompasses a medical history series of questions.

• Be a holder of insurance that covers mountain climbing and trekking.

To make sure that the travelers are safe, Sonam Adventures ensures there is plenty of personnel and experienced staff.

6. Documents Required for Travel

• It is up to each traveler to acquire any visas, passports, permits, and any other required documents for each step of the journey.

• Sonam Adventures can help with visa assistance and trekking/restricted area permits, though the traveler still bears ultimate responsibility.

• Travelers to Nepal via land borders or by air bear the responsibility to abide by the rules of immigration and all applicable permits.

7. Responsibilities of Travelers

For the enjoyment and safety of all participants:

• Obey the guide and staff directions, as well as any rules, instructions.

• Protect and preserve the country’s customs, culture, and environment.

• Take personal care of items, as personal belongings that are lost, damaged, or stolen are not the responsibility of Sonam Adventures.

• Carry out actions in a manner that does not threaten their safety and that of other people.

8. Insurance

All foreign participants are required to possess comprehensive travel insurance that includes emergency medical care, accidents, evacuation, and cancellation of the trip. Sonam Adventures will ask for proof of insurance and may withhold permission to travel until fully insured.

9. Liability

Sonam Adventures is the travel organizer and guide; however, natural conditions that cannot be controlled include:

• Weather
• Effects of altitude
• Wild animals
• Condition of roads and/or trails

Liability is restricted to the fullest amount of negative impact. Sonam Adventures will not be liable for any delays, cancellations, or any form of disruptions resulting from factors beyond the control of organization.

10. Photography and Media

Photos and videos may be taken during trips for promotional materials and for advertising purposes. Travellers who do not wish to be photographed should inform the staff in advance. Images can be featured on the website, social media, and related published content.

11. Dispute Resolution

Any disagreements related to the provided services will be addressed through friendly conversation to see if common ground can be found. If that does not work, any disputes that arise will be settled in accordance with the laws of Nepal, under the corresponding jurisdiction of Nepal.

12. Force Majeure

These are the events beyond our control, Sonam Adventures will not be held responsible for:

• Natural calamities (earthquakes, floods, landslides)
• Civil disturbances and/or strikes
• Blockades
• Any health crises, like endemic and pandemic
• Epidemics and pandemics

In such circumstances, we will do our best to make other arrangements for the travelers and give a refund, where applicable.

13. Amendments

Sonam Adventures may change any part of these terms and conditions at any given moment and without notice. New terms and conditions will be available on the website, and continued usage of the services is taken as acceptance of the modifications.

14. Final Note

Sonam Adventures will be booking trips using the above terms and conditions. Our objective is to promote safe and gratifying activities in the mountains while preserving the local culture and environment.

We do listen to people. Our principles are based on safety, confidentiality, and the freedom of the people we serve. With these guidelines, we aim to make every journey smooth, memorable, and rewarding—for travelers, guides, and the communities we visit.
